ASAP HeatPumps operates on the Costa del Sol, Spain. We install and maintain pool heating systems, pool covers, and air conditioning units. When you contact us or use our website, you may provide personal information. This policy explains how we handle it.
2. What We Collect
We may collect the following information when you submit a quote request or contact us:
- Your name
- Phone number and/or WhatsApp number
- Email address (if provided)
- Property location and details relevant to your enquiry
- Any additional information you choose to share
3. How We Use Your Data
We use your data solely to:
- Respond to your enquiry or quote request
- Schedule visits and installations
- Manage your ASAP Care Plan membership if applicable
- Send service reminders relevant to your account
We do not sell, rent, or share your personal data with third parties for marketing purposes.
How we reply to you
When you submit a quote request, your phone number is passed to our automation tool (n8n), which uses Twilio to send you a reply on WhatsApp. It is used only to respond to your enquiry.
Service providers we use
We work with a small number of trusted providers that process data on our behalf and on our instructions:
- Supabase and Vercel store and host the website and its data.
- Resend delivers our notification emails.
- Twilio and n8n send the automated WhatsApp reply.
- Google Analytics provides anonymised statistics, only if you accept analytics cookies.
Some of these providers operate outside the EEA, including in the USA. Where that is the case we rely on appropriate safeguards (such as Standard Contractual Clauses or an adequacy decision) to protect your data.
4. Data Retention
We retain your data for as long as is necessary to provide our services or as required by Spanish law. If you would like your data deleted, contact us and we will action it within 30 days.
5. Your Rights
Under the GDPR and Spanish data protection law (LOPDGDD), you have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Object to or restrict how we process your data

If you are not satisfied, you can also lodge a complaint with the Spanish Data Protection Agency (AEPD, aepd.es).
6. Security
We take reasonable technical and organisational measures to protect your data. Our systems are hosted on secure, encrypted platforms.
